Unit Records Manager
Morningside University is accepting applications for a full-time Unit Records Manager (URM) who plays a key role in supporting academic operations by overseeing the organization, management, and compliance of digital records for faculty and school of education students. This position utilizes systems such as Laserfiche Document Management, Tevera Assessment Management, Google Workspace, TES® Transfer Evaluation System, and the university’s Student Information System (Collegix/Jenzabar). The URM ensures that records are maintained in alignment with institutional policies and in full compliance with state and federal regulations. Expertise in document retention schedules, electronic document management, scanning, and optimizing workflow efficiency is critical to success in this role.
Responsibilities:
- Manage the classification, retention, secure storage, retrieval, and disposition of faculty and student electronic records in accordance with institutional policies and legal/regulatory requirements.
- Maximize the functionality of key systems including Laserfiche, Tevera, Jenzabar SIS, and TES® to support records integrity and operational efficiency.
- Collect and maintain required faculty and student documentation based on established retention schedules, ensuring compliance with privacy standards and accessibility needs.
- Manage the collection and accurate recording of graduate student application materials.
- Review and analyze transcripts to determine transferable or equivalent credits for incoming graduate education students.
- Collaborate with faculty and leadership teams to maintain accurate program and curriculum data for use in graduate catalog updates.
- Conduct comprehensive degree audits to verify student eligibility for graduation, applying relevant academic policies and catalog requirements.
- Enforce graduation participation policies and maintain accurate records of eligible commencement candidates.
- Manage the digitization of physical documents using scanning and OCR technology, ensuring accurate conversion into searchable electronic formats.
- Train faculty and staff on effective electronic records management practices, and develop clear, user-friendly process guides and documentation.
- Monitor and improve the organization and retrieval of digital records, identifying opportunities for greater efficiency and accuracy.
- Assist in staffing two locations on campus.
- Contribute to unit-wide special projects and initiatives as assigned.
Qualifications:
- Strong organizational, analytical, and project management skills.
- Proficient in electronic document management, scanning, and OCR technologies—especially Laserfiche.
- Familiarity with legal and regulatory standards for document retention and privacy.
- Effective communicator with the ability to train and support faculty and staff.
- High attention to detail, confidentiality, and a commitment to professional standards.
- Ability to quickly learn and apply accreditation, academic, and policy standards.
- Proficiency in office productivity software, including Google Workspace and Microsoft Office.
- Strong interpersonal skills and a respectful, service-oriented mindset.
- Bachelor’s degree in Information Management, Library Science, or related field OR comparable professional work experience preferred.
- Three (3) years of experience in records management, preferably in a non-profit organization.
