Senior Administrative Coordinator

Morningside University is now accepting applications for the position of Senior Administrative Coordinator providing support to the Academic Dean and academic programs within the Nylen School of Nursing and Health Sciences. This is a full-time position that supports the day-to-day operations of the school, manages academic and compliance records, prepares correspondence and documentation, and assists with accreditation and regulatory reporting processes.

Administrative Office Support Duties

  • Provide high-level administrative support to the Academic Dean, Assistant Dean, and Department Heads/Program Directors.
  • Prepare professional correspondence, reports, presentations, agendas, and meeting materials.
  • Manage complex scheduling, calendars, and coordination of meetings, events, and special initiatives.
  • Collect agenda items, record and transcribe minutes, and distribute follow-up communications for school meetings and advisory committees.
  • Coordinate logistics for meetings and events, including room reservations, catering, technology setup, and virtual platforms.
  • Support college activities and special events through planning, coordination, and communication.
  • Provide front desk coverage, wayfinding support, and general reception duties as needed.
  • Maintain strict confidentiality of student and employee information in compliance with FERPA and institutional policies.
  • Provide back-up support to administrative team members and perform other duties as assigned by the Dean of the Nylen School of Nursing and Health Sciences.

Data Management, Reporting, and Operational Support

  • Conduct data queries and generate reports to support recruitment, retention, enrollment, forecasting, scheduling, and budget planning.
  • Assist with institutional, state, and federal reporting requirements.
  • Support recruitment and retention initiatives through data tracking and reporting.
  • Develop and maintain systematic processes for document storage, ensuring accurate and accessible electronic and paper records.

Student Data, Progression, and Academic Support

  • Analyze student GPA and progression data at the end of each term to verify academic standing in accordance with institutional policies.
  • Prepare and distribute correspondence related to academic standing.
  • Coordinate the student academic petition process for the School of Nursing and Health Sciences in consultation with the Dean.
  • Maintain accurate and organized academic progression records, including letters and supporting documentation.

 Academic Program and Faculty Support

  • Manage processes related to faculty employment, including onboarding, documentation, and maintenance of faculty records, credentials, licensure, compliance records, CVs, transcripts, and scholarship documentation.
  • Oversee course scheduling processes, including maintaining the master course schedule and textbook lists.
  • Collaborate with faculty to ensure timely course setup and availability in the learning management system (e.g., Moodle).
  • Coordinate textbook adoption processes with the virtual bookstore vendor and manage desk copy requests.
  • Serve as liaison to program vendors (e.g., Core, ViewPoint, Medatrax, ExamSoft, ATI, CastleBranch, NursingCAS, etc.).
  • Manage course and section data within institutional systems (e.g., Jenzabar).

Accreditation, Regulatory, and Compliance Support

  • Assist in the preparation and submission of accreditation and annual reports required by regulatory and accrediting bodies (e.g., Iowa Board of Nursing, AACN, CCNE, ACEN, NAACLS, JRCERT, CoARC).
  • Maintain and manage program outcome data for students, faculty, alumni, and employers to support required reporting.
  • Coordinate and complete program audits, professional organization surveys, and compliance documentation.
  • Facilitate licensure-related processes, including:
    • Education verification for graduates (clinical, hospital, and state board requirements)
    • State-to-state Board of Nursing authorizations, including SARA compliance.
  • Serve as a liaison with practice partners to ensure compliance with education verification and licensure requirements.

Qualifications

  • Associate degree or higher preferred
  • Two years of administrative -level office experience
  • Strong computer skills.
  • Strong customer service skills able to work well with students and all employees.
  • Excellent written and oral communication skills.
  • Strong data Management skills.
