Administrative Coordinator
Morningside University is seeking an organized, customer-focused, and detail-oriented Administrative Coordinator to join our Physical Plant & Auxiliary Services team on a part-time basis. As the first point of contact for many campus maintenance and facilities requests, you’ll play a vital role in supporting the daily operations of the University. Working closely with the Assistant Vice President of Facilities & Auxiliary Services and the Maintenance, Grounds, Custodial, Print Shop, Mailroom, and Mside Store teams, you’ll help coordinate projects, manage service requests, and provide administrative support that keeps the Morningside campus running efficiently.
Responsibilities:
Service Order Coordination
- Serve as the primary coordinator for the Physical Plant service order system.
- Provide friendly, responsive customer service to students, faculty, and staff.
- Receive, create, prioritize, and assign maintenance, grounds, and custodial work orders.
- Track completed work orders and follow up on outstanding requests to ensure timely service.
Administrative Support
- Provide administrative support to the Assistant Vice President of Facilities & Auxiliary Services and departmental managers.
- Order parts, supplies, and materials for maintenance operations.
- Process work-study payroll and assist with student employee records.
- Coordinate employee certifications, licensing renewals, and training opportunities.
- Maintain building and campus blueprint records and documentation.
- Answer department phones and serve as a welcoming resource for campus inquiries.
- Communicate scheduled maintenance projects and emergency repairs with campus departments.
Print Shop, Mailroom & Mside Store Support
- Assist the Print Shop with large production projects and equipment service coordination.
- Provide support for Mailroom operations during peak periods, holidays, school breaks, and summer.
- Collaborate with the Mside Store to produce custom apparel and laser-engraved merchandise.
- Assist with special events, game days, and alumni activities as needed.
Campus Event Support
- Assist with coordinating facilities operations during student move-in, move-out, and Commencement.
- Support campus-wide initiatives and special projects that enhance the Morningside experience.
Qualifications
- High school diploma or equivalent.
- Excellent customer service and interpersonal skills.
- Strong written and verbal communication abilities.
- Proficiency with computers and common office software.
- Outstanding organizational skills and attention to detail.
- Ability to prioritize multiple projects while meeting deadlines.
- Ability to work effectively with faculty, staff, students, vendors, and contractors.
- A positive attitude, initiative, and commitment to teamwork.
