Human Resources Assistant - Great West Casualty Company
SALARY: Based on experience of the selected candidate
HOURS: 9:00 A.M. – 5:00 P.M. Monday - Friday
START: ASAP

JOB DUTIES AND RESPONSIBILITIES
CONTINUING EDUCATION ADMINSTRATION/COORDINATION
Is primary contact and administrator for. Acts as liaison and resource for the training department, employees and other regions.
a) CPCU/IIA/IDMA/AEI. Receive enrollment forms, order materials, distribute upon arrival, register students for exams, provide expenses allocations to accounting, and provide payroll clerk with data for cash awards. Proctor exams as needed. Attend quarterly Education Council meetings reporting on Great West Casualty Company passing ratios.
b) New Employee Orientation – is main liaison for training department and for new employees. Keeps schedule of employees attending up-to-date. Compiles packets and sets up for each session.
c) Maintain check out system for pictorial courses. Proctor and score exams. Order additional supplies as needed. Intern to back-up.
d) Maintain check out system for Great West HR Library. Receive, sort and file. Maintain E-mail and hard copy catalog. Intern to back-up.
e) Maintain records for tuition reimbursement expenses for SSC.
f) Maintain records of all outside training expenses incurred for site and corporate HR departments. Compile monthly report.

HUMAN RESOURCE DEPARTMENT SUPPORT
May perform the following as primary or backup:
a) Provide clerical support for regional Human Resources staff, including sorting and distributing daily mail, answering phones and taking messages, ordering and maintaining department supplies.
b) Provide employee services, i.e. check cashing, stamps, and change.
c) Post policies, job postings, birthday list, and other company-wide announcements on bulletin boards and e-mails.
d) Provide clerical support for and assist the Cafeteria Committee with projects and sub-committees, as needed.
e) Greet walk-in applicants as needed.
f) Administer candidate testing as directed.
g) Schedule and assemble new employee and recruitment packets and replenish supply.
h) Back up Employment Specialists with in-processing as needed.
i) Assist with Great West Company tours – organizing and leading high school and college class visits.
j) Assist Staffing Specialists with setting up phone and personal interviews, (including flight, hotel and rental car) and in completing reference checks.
k) Other miscellaneous duties as assigned.
RECORDS ADMINISTRATION

May perform the following as primary or backup:
a) Backup for attendance and leave, including Short Term Disability and FMLA Leaves information to Corporate HR for payroll, HRIS entry, and quarterly audits.
b) Back up HR Manager with E-time system.
c) Maintain department filing systems. Intern to back-up.
d) Other Human Resource record keeping as assigned.

MINIMUM QUALIFICATIONS

Education/Vocational Training: High school diploma or equivalent; training in office practice or human resources helpful
Work Experience: Minimum 3 years office experience or equivalent, prefer experience in Human Resource clerical support.
SKILLS/ABILITIES:
1. Accurate keyboarding and data entry skills, minimum 40 wpm keyboarding
2. Excellent math and 10-key skills
3. Excellent organizational and filing skills and ability to handle multiple priorities and tasks
4. Excellent communication skills; professional telephone manner
5. Above average spelling, grammar, punctuations and proofreading skills.
6. Proficient with PC windows based software; word processing and spreadsheets, desktop publishing a plus.
7. Knowledge of or ability to learn the human resources function.
8. SPECIFIC PHYSICAL REQUIREMENTS:
Regularly sit; use hands to finger, handle, or feel; talk and hear. Occasionally stand; walk; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. Occasionally lift and/or move up to 10 pounds. Occasionally operate a motor vehicle. Specific vision abilities required by this job include close vision, close vision, color vision, peripheral vision and ability to adjust focus. Ability to comprehend and use basic English language, both written or spoken, to communicate information and ideas; formulate and apply appropriate course of action for routine or familiar situations.
